 Pilot Medical Pte. Ltd. ("the Clinic", "we", "us") is a licensed medical clinic in Singapore. We are committed to protecting the confidentiality and security of your personal and medical information in accordance with the Personal Data Protection Act 2012 (PDPA) and the Private Hospitals and Medical Clinics Act (PHMCA).

2. Personal Data We Collect To provide you with safe and effective medical care, we collect the following:

  • Personal Particulars: Name, NRIC/FIN/Passport number, date of birth, address, and contact details.

  • Medical Information: Medical history, drug allergies, family history, current medications, notes from consultations, and results from laboratory tests or imaging scans.

  • Financial Information: Credit card details, bank account information, or insurance policy details for billing and claims.

  • Third-Party Data: Information provided by your other doctors, specialists, or caregivers involved in your care.

  • Pilot Healthcare Pte. Ltd.: With your consent, we may access your wellness reports generated by our technology partner, Pilot Healthcare Pte. Ltd., to aid in our clinical assessment.

3. How We Use Your Data (Purposes) We use your data primarily for clinical purposes and healthcare operations:

  • Medical Care: To diagnose, treat, and manage your health conditions.

  • Referrals: To refer you to specialists, hospitals, or radiology centers when necessary.

  • Ancillary Services: To process prescriptions, laboratory requests, and insurance claims.

  • Communication: To remind you of appointments, follow-ups, or health screening reviews.

  • Compliance: To comply with Ministry of Health (MOH) directives, infectious disease reporting (e.g., CDRA), and other regulatory requirements.

4. Disclosure of Personal Data We strictly preserve medical confidentiality. We only disclose your data in the following circumstances:

  • Other Healthcare Providers: Specialists, laboratories, or hospitals involved in your treatment (the "Continuum of Care").

  • National Electronic Health Record (NEHR): We may contribute your summary medical data to the NEHR system managed by the MOH to facilitate care across different healthcare institutions, unless you have formally opted out.

  • Third-Party Administrators (TPAs) & Insurers: If you are claiming medical expenses, we will share necessary diagnosis and billing data with your insurer or TPA.

  • Pilot Healthcare Pte. Ltd.: With your consent, we may disclose your medical/health data and reports with Pilot Healthcare Pte. Ltd. anonymously, to aid in our clinical assessment and our technology partners strictly and only for their research and development purposes.

  • Regulatory Authorities: As required by law (e.g. notifying MOH of specific infectious diseases).

5. Protection of Data We store your medical records in secure electronic medical record (EMR) systems with strict access controls. Only authorized clinical and administrative staff have access to your file. Physical records are kept in locked facilities.

6. Retention of Data We retain medical records for the duration required by the Ministry of Health (generally a minimum of 6 years for adults) and for as long as necessary to ensure continuity of care and legal defence.

7. Your Rights

  • Access: You may request a copy of your medical information. Please note that an administrative fee may apply for retrieving and copying medical records.

  • Correction: You may request to correct your personal particulars. Note: Clinical opinions and diagnoses recorded by doctors generally cannot be "corrected" at a patient's request but may be annotated if disputed.

  • Withdrawal of Consent: You may withdraw consent for optional uses (e.g. marketing). However, you generally cannot withdraw consent for the retention of medical records required by law or for data necessary for ongoing safe treatment.
